Application Checklist

The following items must be submitted either online or through postal mail:

Step 1: Choose a Programme

Hasselt University offers a variety of study programmes.
Moreover, there are scholarship opportunities available for international students.

Find below a list of our English Master programmes:

When applying for one of those programmes, you'll have to choose a type of study contract. Hasselt University has three types of study contracts: diploma contract, credit contract and exam contract.

Step 2: Check the Deadlines

Each programme has a specific deadline, depending on where you are from.

  • International (non-EEA) students often have to go through lengthy visa procedures for which a proof of admission is required. The deadlines are thus set earlier keeping this in mind.
  • Students from the European Economic Area (EEA) have deadlines set a bit later as the process of relocation is much faster.

*You need to already be admitted to the programme of your choice in order to apply for this scholarship. 

We therefore advice you to submit the application for the programme of your choice by February 1. 
This gives the Admission Committee enough time to make a final decision on your admission in order for you to proceed with the application for the Master Mind Scholarship.

Step 3: Determine Eligibility

Before submitting an application it is important that you determine whether you are eligible.
Keep in mind that meeting the admission requirements does not guarantee admission.
The Committee reserves the right to adjust the admission requirements and the selection criteria every year.

Master of Interior Architecture

For who?

The international master of Interior Architecture with focus on Adaptive Reuse focuses on bachelors or masters in Architecture and/or Interior Architecture with a strong interest in adaptive reuse and the cultural aspects of (interior) architecture in a broad sense.

Specific admission Requirements

  • Diploma: academic bachelors or masters in Architecture and/or Interior Architecture.
  • Language: mandatory academic TOEFL minimum score report or academic IELTS-certificate with a minimum overall band score or a Cambridge CAE/CPE certificate. You can be exempted if your knowledge of the English language (academic level) can be proven otherwise.
  • Detailed portfolio showcasing a selection of your work, sent to architectuur@uhasselt.be before the correct deadline date.
  • Motivation letter of max. 300 words and an overview of your studies, sent to architectuur@uhasselt.be before the correct deadline date.

Master of Management

For who?

The Master of Management is an international one-year master programme (in English) that prepares students for a career in dynamic, international business environments. The programme focuses on confronting students with challenging strategic business problems to familiarize them with all major aspects of a business.

Admission Requirements

  • Language: mandatory academic TOEFL-test with a minimum score report or academic IELTS-certificate with a minimum overall band score or a Cambridge CAE certificate
  • Motivation letter of max. 3 pages
  • Specific degree requirements for students with a Flemish or non-Flemish degree
  • Thesis abstract (title and short description)

Master of Biomedical Sciences

For who?

The Master of Biomedical Sciences focuses on state-of-the-art methodology, knowledge, insight and academic skills, enabling graduates to unravel the molecular mechanisms of health and disease as independent researchers. The programme provides students with the knowledge and skills required for the proper design of a scientific research project.

Admission Requirements

  • Specific degree requirements, depending on the specialization of your choice
  • Language: mandatory academic TOEFL-test with a minimum score report or academic IELTS-certificate with a minimum overall band score. Exceptions apply for native speakers and holders of a degree obtained in the English language.
  • Test on basic knowledge of biomedical sciences
  • Test on practical lab skills

Master of Transportation Sciences

For who?

Transportation is a dynamic field and career opportunities are on the rise worldwide in the private and public sector including government agencies, road and transport authorities, transport operators, and local and international consulting agencies. Our alumni are typically employed as senior transportation planning professionals, public transport managers, traffic safety consultants or to research new transportation systems and technology. Master of Statistics and Data Science

For who?

The English two-year programme "Master of Statistics and Data Science" at Hasselt University combines a solid study of principles of statistics and modern data science, with a focus on applications in the life sciences (e.g. clinical trials, epidemiology, public health, genomics, …).

Admission Requirements

  • Specific degree requirements for students with a Flemish or non-Flemish degree
  • Language: mandatory academic TOEFL-test with a minimum score report or academic IELTS-certificate with a minimum overall band score. Exceptions apply for candidates with a Belgian diploma of higher academic education, for native speakers and holders of a degree obtained in the English language.
  • Holders of an international academic degree are strongly recommended to include the GRE general test result in their application; there are no minimum score requirements for the GRE general test. The institutional code of Hasselt University for the GRE test is 3112.
  • It is requested to provide for an English version (or translation) of the course description of the already followed statistical, mathematical and other quantitative courses, with for each course a brief description of the objectives, the main topics, the workload and the course materials used.
  • In case the Admission Board is not fully convinced that an applicant sufficiently masters the foreknowledge to start the program successfully, the Admission Board can invite the applicant to take an admission test.

Master of Energy Engineering Technology

For who?

The master of Energy Engineering Technology in an international master programme for who is interested in becoming an Energy Transition Expert.

Specific admission Requirements

  • Diploma: honours bachelor’s degree (B.Sc., B. Tech., B. Eng., etc.) or master’s degree with a broad focus on energy-related domains.
  • Language: mandatory academic TOEFL minimum score report or academic IELTS-certificate with a minimum overall band score or a Cambridge CAE/CPE certificate. You can be exempted if your knowledge of the English language (academic level) can be proven otherwise.
  • Preselection: motivation letter (max. 2 pages) and a resume (max. 2 pages), sent to engineeringtechnology@uhasselt.be before the correct deadline date.

Step 4: Submit Application

Now that you have chosen a programme, checked the deadlines and determined whether you are eligible it is time to submit your application!

A complete application consists of the following two parts:

  1. Online pre-registration
  2. Document verification

Your application will only be processed when both parts of the application process, the online pre-registration and the verification of the documents, have been completed.

If you are applying for the Master of Interior Architecture, in addition to parts 1 and 2 of the application process, it is also compulsory to send your portfolio, a motivation letter, and an overview of your study to architectuur@uhasselt.be.

If you are applying for the Master of Energy Engineering Technology, you should first send a motivation letter and resume to engineeringtechnology@uhasselt.be. After a positive assessment by the examination board, you can proceed with parts 1 and 2 of the application procedure. 


1. Online application

Your online application must be complete before the deadline of the programme you are applying to. 

Each section of the online application needs to be fully and correctly completed in order for the system to give you access to the next.

Don't forget to upload your documents. This is compulsory, even if you request digital verification of your documents.

Note that we do not review online pre-registrations until we have received and verified the required
documents, either in certified hard copy form at our office or through your digital verification
request via email.

From 15 October 2024, you can apply via a new application here.

1. Digital verification

You can request a digital verification of your documents if your prior degrees can be verified
digitally via the education institution's website or via a (QR) code, e-apostille, or e-
legalisation.  

We will only verify the authenticity of your documents. At this stage, we will not check if you are eligible for the programme. 

Please send an email to admissionformaster@uhasselt.be with the necessary documents and
information, mentioning "digital verification + your personal application number + programme name" in the subject of your email. Send your request before your programme's application deadline.
When sending your digital verification request, you can request a read receipt to ensure our
office has received and read it.

Digital documents that do not contain a verification or QR code cannot be accepted. 

Hasselt University does not pay for a digital verification. 
 
Hasselt University reserves the right to ask for a certified/legalised/original hard copy of
your documents during the application and enrolment process.

Which documents can be accepted for a digital verification?

Accepted for digital verification:

  • Diploma and transcripts with QR codes leading to an official verification website in English
  • Diploma and transcripts with the URL of the verification platform and verification codes

NOT accepted for digital verification:

  • Documents that do not contain a (QR) code for an official online verification (a serial number is not a verification code)
  • Documents with (QR) codes that don’t go to a verification website (in English)
  • Scans of certified hard copies

2. Certified Hard Copies

Your documents must arrive at our office latest two weeks after the deadline.

 
The authenticity of your documents can be verified by sending certified hard copies of higher education (Bachelor, Master, PhD, etc.) diploma certificates as well as transcripts of records thereof by postal mail to Hasselt University. If your documents are in a language other than English, French, Dutch or German you need to send certified hard copies of the officially translated documents as well.

What are certified hard copies?
  • The copies of your original documents need to be certified by an official institution. This can be the university, the notary, the embassy, etc
  • The official institution stamps and signs (in real ink) the copies again on each page to attest that they are true copies of the original documents
  • Photocopies and digital versions of certified documents will not be accepted
  • Certified / legalised / original hard copies cannot be returned to the candidate

Due to the volume of applications we cannot confirm the receipt of your documents. We strongly recommend sending your certified hard copies via express service, so you can track them. Their arrival at our university can then be acknowledged.


What happens once your application has been received?

Once your documents arrive at our office we begin processing your application. 
You will receive updates on the status of your application via e-mail. 
If you have not heard from us this means we have not yet received your documents at our office.

Status Updates

A member of the Admission’s Office looks into whether your application is complete and updates you on the status of your application via e-mail:

  • Under Consideration - you have submitted a complete application which will be forwarded to the Admission Committee for evaluation
  • Further Information Requested - your application is incomplete. You will receive an email with the steps you need to take in order to complete your application

Admission Committee Evaluation

Each programme has its own respective Admission Committee.
The applications are reviewed individually based on a number of different characteristics:

  • The domain and level of the previously obtained degree
  • Obtained grades
  • Level of English proficiency
  • Motivation
  • Work Experience

The Committee bases its decision of admission on the overall assessment of these.
Their decision is taken very carefully, weighing all elements and is therefore final.

There is no set time limit for the Admission Committee to send back their final decision on your application. We advise that you apply at the earliest opportunity - in case of a positive outcome you will have plenty of time to apply for a visa (if applicable) and prepare your stay.

Application Outcome

Once the Admission Committee has reviewed your application they send their final decision back to the Admission’s Office. You will receive another status update depending on the outcome:

  • Admission
  • Conditional admission
  • No admission

Have you been admitted?
Congratulations!

You will receive a status update along with an e-mail with your letter of admission and extra important information.

You may now begin preparing your stay

  • Begin the visa process as soon as possible (if applicable)
  • Register for health insurance (if you are a non-EEA student)
  • Think of accommodation
  • Arrange your travel to Belgium

Step 5: Pay the Tuition Fees

You will receive payment instructions by e-mail.
Kindly pay the tuition fees at the latest one month before your arrival in Belgium.
Keep in mind you cannot proceed to the final step and enrol at Hasselt University before the payment has been received.

It is important that you use the structured communication (reference) provided in the payment instructions.
Otherwise the payment cannot be allocated to your application until you provide us with the proof of payment.

Have you paid the tuition fees? 
You will receive a status update with a confirmation by e-mail. 
Once you receive this you may proceed to the final step and enrol as a student at Hasselt University.

Step 6: Finalise your Registration

Final registrations open each year towards the end of June. 
The appointment system is currently closed. You cannot yet make an appointment to register for academic year 2025 - 2026.

Finalise your registration before the start of the academic year.

Once you complete your final registration you are officially enrolled as a student at Hasselt University.

Officially registered? What's next?

Once you have finalised your registration you will have access to your student account. 
Then you need to compose and request your academic programme

It is very important to do this as soon as possible.

Hasselt University has to send each student's registration data to the Higher Education Database.
The information in this database is the basis for any potential payment of child support and/or scholarships.

Do you offer English Master programmes?

Hasselt University offers 6 English master programmes:

Do you offer English Bachelor programmes?

All Bachelor programmes are taught in Dutch.

Candidates who wish to register in a Dutch-language Bachelor programme will need to demonstrate good command of Dutch and meet the Dutch language requirements.

Hasselt University does not offer a preparatory year to learn Dutch. Other universities in Flanders do offer this preparatory programme. You can find more information on the Study in Flanders website.

Do you offer scholarship programmes?

We offer the VLIR ICP scholarship for our Master of Statistics programme (Biostatistics/Bioinformatics/Quantitative Epidemiology) and our Master of Transportation Sciences programme (Traffic Safety).

Please be careful when applying for other scholarships. An admission letter to study at Hasselt University always comes directly from our university and from an official mail address ending in @uhasselt.be.

Admission requirements

What are the language requirements?

Each programme has specific language requirements.

You can check them on our admission and application page.

Do I need an IELTS or TOEFL certificate?

To apply for the Master of Management programme, an academic IELTS (6.5) or TOEFL score (89-90) is compulsory, even if the medium of instruction during your previous education was English. Exemptions apply for native speakers and degree holders (higher education) from Australia, Canada (English speaking part), Ireland, New Zealand, United Kingdom, United States of America.

To apply for the other English master programmes, native speakers or holders of a degree obtained in the English language are exempted from a language test.

What are the admission requirements?

Do I need a GRE certificate?

To apply for the Master of Statistics and Data Science programme a GRE certificate is strongly recommended for holders of an international academic degree. Applicants with a Belgian degree of higher education are exempted from the GRE General test. There are no minimum score requirements for the GRE general test. The institutional code of Hasselt University for the GRE test is 3112.

Do I need an APS certificate?

From the academic year 2007-2008 onwards all students from the P.R. China will have to obtain a certificate of academic screening issued by the Academic Evaluation Centre (APS) of the German Embassy in Beijing before being allowed to enroll at any higher education institution, language course or other preparatory course in Flanders. The APS certificate is also required for obtaining a student visa to Belgium. More information on APS can be found at the APS website.

In some cases, you can be exempted from (part of) the APS procedure. For more info, please send an email to admissionformaster@uhasselt.be.

Am I eligible for one of your programmes?

It is not possible to review your profile in advance to verify if you are eligible for the programme.

We advise you to submit your application for the programme. Once your application file is complete (including a complete online application file and the correct certified hard copies), the Admission Board will evaluate your file.

We cannot tell you beforehand whether or not you would be admitted, since our Admission Board reviews each incoming file based on several criteria (preliminary education, proficiency of English language, motivation...).

How to apply for the Master of Interior Architecture?

The application for the Master of Interior Architecture consists of three steps:

  1. Applying online (check step 4 of the step-by-step application plan for a detailed manual)
  2. Document verification (digital verification request via email or certified hard copies by postal)
  3. Sending your portfolio, a motivation letter, and an overview of your study to architectuur@uhasselt.be (don't forget to mention your preregistration number)

Please do not wait until your portfolio has been approved to apply online or send your certified hard copies.

Full admission can only be granted when our offices have approved all steps. This means that admission can only be given when you have provided the requested documents (online and hard copy) and your portfolio has been approved.

How to apply for the Master of Energy Engineering Technology?

If you are applying for the Master of Energy Engineering Technology, you should first send a motivation letter and resume to engineeringtechnology@uhasselt.be.

After a positive assessment by the examination board, you can proceed with parts 1 (online preregistration) and 2 (document verification) of the application process.

Full admission can only be granted when our offices have approved all steps. 

How to apply for the VLIR-scholarship?

If you are eligible to apply for the scholarship, you will see this on the page “ICP” in your online application file. This page only will be shown if you are eligible to apply for the VLIR scholarship.

To apply for the scholarship, you first have to mark the option “yes” on that page (application for a VLIR-ICP-scholarship: “yes”).

Furthermore, you have to follow a specific procedure. You’ll find more information about this procedure on the VLIR-application form, which is downloadable on the same page.

How to apply for the Master Mind scholarship?

Applications for the Master Mind scholarship will open towards the end of December/beginning of January. Around that time, the info on the Master Mind scholarship webpage will be updated.

This application process consist two parts:

1. Application for academic admission

2. Application for the Master Mind scholarship

Do I have to pay an application fee?

Applying at Hasselt University is free of charge. You do not have to pay an application fee.

What is the status of my application file?

You can check the status of your application file any time. Open your application file and click on 'State of file' in the left block. You can update and upload documents in your application file until the status 'Additional information requested' . When your application file is in status 'Under consideration', you cannot change the data anymore. You also receive an e-mail when the status of your application file has changed.

Note that we do not review online pre-registrations until we have received and verified the required documents, either in certified hard copy form at our office or through your digital verification request via email.

When will my application be processed?

Your online pre-registration is only the first part of the application process. The second part is the verification of your documents.

The authenticity of your documents must be verified by our admissions office, either in certified hard copy form at our office or through your digital verification request via email.

Your application will only be processed when both parts of the application process have been completed.

What is a certified hard copy?

All applicants need to send certified hard copies to Hasselt University by postal mail.

This copy of your original documents needs to be certified by an official institution. This can be the university, the notary, the embassy…

The official institution of your choice stamps and signs the copy again to attest that it is a true copy of the original document. The document needs to contain on original, fresh stamp (in real ink) on each page.

Photocopies and digital versions of certified documents will not be accepted.

Will I be notified about the arrival of my documents?

Due to the volume of applications we cannot confirm the receipt of your documents. We

strongly recommend sending your certified hard copies via express service, so you can track them. Their arrival at our university can then be acknowledged.

Once we have opened and processed your package, you will receive an update.

Can I have my documents back?

The certified hard copies you send us to complete your application file cannot be returned.

Therefore, it is important not to send us your original documents, because we cannot return them to you.

Can my documents be verified digitally?

After completing your online pre-registration, our office must verify your documents.

You can request a digital verification of your documents if your prior degrees can be verified digitally via the education institution's website or via a (QR) code, e-apostille, or e-legalisation.

We will only verify the authenticity of your documents. At this stage, we will not check if you are eligible for the programme. 

Send an email to admissionformaster@uhasselt.be with the necessary documents and information, mentioning "digital verification + your personal application number + programme name" in the subject of your email. Please respect your programme's application deadline.

When sending your digital verification request, you can request a read receipt to ensure our office has received and read it.

Digital documents that do not contain a verification or QR code cannot be accepted. 

Note that Hasselt University reserves the right to ask for a certified/legalised/original hard copy of your documents during the application and enrolment process.

How to defer admission?

In case you want to defer your admission to the following academic year, you need to send an email to the admission’s office asking for a deferment of your admission before the deadline. Your file will then be resent to the Admission Board to be reevaluated.

In case you are readmitted, you will receive a new letter of admission, which you can use to apply for your visa.

Please keep in mind that the fact that you received admission last year does not guarantee you will be readmitted for the next academic year, since admission requirements can change each year.

How to re-apply for a master programme?

If you want to re-apply for a programme after several years, please send an email to admissionformaster@uhasselt.be so we can unlock the documents in your online application file.

It is important to update your online application file and to send new certified hard copies by postal mail before the deadline.

Please keep in mind that the fact that you received admission in the past does not guarantee you will be readmitted, since admission requirements can change each year.

How to re-apply for a scholarship programme?

It is not necessary to start a new online application. Re-open your online application file at and change the academic year to the upcoming academic year in the ‘Study programme’ section.

Send a new VLIR ICP application form (downloadable on the ICP page), along with an updated CV, a new motivational letter, two new letters of recommendation and other new documents that might be of added value to your application to Hasselt University by postal mail before February 1st.

Which steps do I have to take after admission?

  • Start the visa procedure as soon as possible.
  • Pay the tuition fee at the latest one month before your arrival in Belgium.
  • Register for AON health insurance (non-EEU)
  • Look for a student room.
  • Travel to Belgium before the start of the orientation week.
  • Register for the orientation programme.
  • Book an appointment to finalize your registration at the student secretariat (Martelarenlaan 42, Hasselt). On campus students need to book a physical appointment. Do this before the start of the academic year.
  • Register at the town hall (within 1 week after your arrival) with proof of enrolment.

Tuition fee

How much is the tuition fee?

The tuition fee differs depending on the programme you want to enroll for. Other factors such as your nationality determine the amount of the tuition fee. Please check the Tuition Fees webpage for more info.

Do you offer scholarships for international students?

We offer the VLIR ICP scholarship and the Mastermind scholarship. For more information, please check the Scholarships incoming students webpage.

Please be careful when applying for other scholarships. An admission letter to study at Hasselt University always comes directly from our university and from an official mail address ending in @uhasselt.be.

How to pay the tuition fee?

When you are academically selected for the programme, you will receive payment instructions by e-mail. The payment must be made by (international) bank transfer.

Do not forget to mention the “structured communication” (reference) when making the payment. This “code” is linked to your online application file.

Can I pay in installments?

We do not offer the possibility of paying in installments.

When does an international student have to pay the tuition fee?

The payment instructions you will receive by email once you have been admitted, will ask you to pay the fees within one month. However, for international students we make an exemption. International students have to pay the fees one month before their arrival in Belgium at the latest. 

The tuition fee needs to be paid before you can finalize your registration as a student (also if you are admitted shortly before the start of the academic year).

Will my tuition fee be refunded if no visa is granted?

A refund of the tuition fee is possible. Send an email to the admission’s office with the details of your bank account: name of the account holder, bank account number, BIC or SWIFT code. This will be passed on to the financial department who will treat your request for a refund of the fee. This process can take several weeks.

Practical

Can the University help to obtain my visa?

Visa applications are the responsibility of the incoming student. The university does not have any influence on the procedure and cannot intervene in the visa process.

The role of Hasselt University is limited to providing an admission letter, some practical information and, on demand, a letter to proof your solvency.

ATTENTION: Students should not enter Belgium with a tourist visa if they intend to stay longer than 90 days or three months.

What is the proof of solvency?

When applying for a visa or a residence permit, students are asked to proof their solvency. Depending on the country, one of the following proof of solvency may apply:

  • A document certifying that the student has been awarded a study grant or scholarship.
  • An agreement for acceptance of financial responsibility (letter of a guarantee) by the so-called Annex 32.
  • A proof of your own financial means by transferring a certain amount to a blocked bank account in Belgium on your name.

What are the living costs in Belgium?

Living standards are quite high in Belgium. Therefore, all international students and guests of Hasselt University are advised to make sure that they have the financial means for a stay in Belgium, before they leave their home country.

How to register for health insurance?

It is important for students travelling to Hasselt University from a non-EEU country to check all information about health insurance on this webpage.

How to look for student housing?

Accommodation is arranged only for VLIR-ICP Scholarship students.

All other foreign students should find accommodation by themselves.

One option is to use the “housing database” put together by the Office for Student Affairs of UHasselt. This database includes student rooms which are let under conditions controlled by the Office for Student Affairs. Visit the Student housing webpage for more info.

An alternative option is to rent accommodation from landlords not subscribing to the UHasselt housing database or from private housing agencies.

Students who are not in Belgium before the beginning of September might encounter difficulties in finding a room. By that time there will be almost no rooms left on the list that is made available through the Office for Student Affairs. Note that the later you arrive, the larger the problem to find a room.

Final registration

When do I have to arrive in Belgium?

You need to be present before the start of the academic year, preferably before the start of the orientation programme. The orientation programme will be organised a week before the start of the academic year. The exact date by which you have to be present is mentioned on your admission letter (‘Arrival date’).

When and where do I have to finalize my registration?

Once you are admitted to the programme of your choice, your registration at our university is not finalized yet.

When you have paid the tuition fee and you have received a confirmation of receipt from us, you will have to book an appointment with one of our staff members to finalize your registration. Final registrations open each year towards the end of June, and your registration needs to be finalized before the start of the academic year.

Students who will attend an on-campus programme need to book a physical appointment at Campus Hasselt (Martelarenlaan 42, 3500 Hasselt). For distance learning students, the registration can be finalized via an online appointment. Once your registration has been finalized, you are officially enrolled as a student at Hasselt University.

When is the start of the academic year?

At Hasselt University, the academic year starts on the third Monday of September.

Which steps do I have to take after my final registration?

Once you have finalised your registration you will have access to your student account. You will then need to compose your academic programme. It is very important to do that as soon as possible.

Graduated

When do I receive my official diploma and diploma supplement?

International students will receive their diploma and diploma supplement during the graduation ceremony or shortly after.

If you are not in Belgium anymore, your diploma and diploma supplement will be sent by registered postal mail. You will receive an email to verify your current address.
